How To Stick To Your Routine Amidst Stress


Finding Purpose & Peace When Life Feels Overwhelming

My alarm clock is screaming; it’s even angrier after being snoozed for the fifth time. I roll out of bed and beeline it to the kitchen. I can only think about coffee even though my body is begging me for a glass of water. I ignore its request.

The clock on the oven reads later than I thought. Thirty minutes until I need to start work. I’m working from home because of COVID-19. The virus continues to impact the world around me, and I’m grateful to even have the option to log hours from my living room.

“No time for exercise or morning writing today,” I think, stuffing a granola bar in my mouth. I scold myself for having that second glass of wine the night before. “Just keep your head above water,” I tell myself, “We’ll get through this.” But I can already feel the stress seeping in.

I’ve been reciting the same script for as long as I can remember—quarantine or not. Habits and routines are so easily tossed out the window in times of stress.

But what if we flipped the script? What if, instead of forgoing the practices that ground us during times of peace and “normality,” we prioritize them amidst stress? I’m not advocating for a self-care retreat or saying we have to “make the most” of our self-isolation—you do what is best for you and honor your body’s needs. What I am suggesting is leaning into the routines and habits that offer us peace to help us navigate this season.

Be Greedy About Your Morning Routine

In high school and college, I woke up at five a.m. to read and journal before starting my day. I’m not sure why I did this—I was still a teenager after all. On the weekends, I stayed up late and slept until noon (a habit my father loathed). When Monday morning came around, though, I craved those dark hours in which I cultivated an early coffee addiction and journaled until it was time for school.

My morning routine differs quite a bit since then, but one thing hasn’t changed: I’m still greedy for those early hours. Whether I’m writing, exercising, or simply sitting in the quiet with a cup of coffee, I’ve discovered that my morning ritual corresponds with my productivity throughout the day.

Similarly, a morning routine keeps me present and grounded. Maybe it’s because it’s easier to control those first hours—I’m fortunate enough not to have tasks stealing my attention before sunrise. Or perhaps it’s the quiet—when stressful seasons are on the horizon, my introverted-self longs for this solitude.

There is no one or right way to have a morning routine; these moments are for you and no one else. And, though having time and space for a morning routine is a privilege, even a moment of intentionality can serve us. Listen to the Rhythms of Your Body & Meet Its Basic Needs

When I’m anxious, taking care of my body and meeting my physical needs is a challenge. Many of us struggle with disembodiment and meeting our bodies’ basic needs during particularly stressful seasons.

Getting enough sleep, exercising (at home or outside), eating a balanced diet, and staying hydrated (coffee and wine are diuretics, unfortunately) are practices often swept aside when stressed. Ironically, research suggests dehydration can cause anxiety and even depression, so surviving on caffeine and alcohol (my “coping beverages” of choice) only perpetuates the problem.

Taking care of ourselves means prioritizing physical self-care. We can do this by drinking more water than usual and consuming a diet rich in anti-inflammatory foods and supplements. Getting enough sleep and find space for movement also helps. May we listen to and respect the needs of our bodies.

Create a Roadmap

One of the ways I keep myself calm and grounded amidst stress is by creating a roadmap. I ask myself questions—How are you feeling? What do you need? Which daily habits are causing more stress?—and journal my answers. This practice shows me how and where I’m allocating my time. It also reveals the gaps, so I can adjust my routines and habits as needed.

Having a roadmap in times of stress helps us manage expectations. We can find or create space in our schedule for the most urgent tasks; sometimes, scheduling time for a nap or to confront our feelings are the most pressing.

Moreover, writing down small goals and commitments (virtual happy hours, Facetime calls) also holds us accountable. It’s the magic of manifesting. When we write things down, we get things done. This can help us maintain our stress levels.

Give Yourself The Gift of “Me Time”

Like physical health, emotional health can get put on the back-burner during stressful seasons, which is why I love my daily, sixty-second “me time” practice. This is especially useful when I wake up late or don’t have time for a morning routine, and it’s usually as simple and basic as sitting alone for a few moments before jumping into a task. I take ten or so deep breaths and check in with my mind and body. As simple as it sounds, these intentional and centering moments ground me. I then feel much more equipped to be productive and stick with my routine throughout the day.

I often derail when I push myself beyond my emotional and physical limits, so I’ve learned to value self-care above all else. Like the old saying, we can only care for others after we’ve first cared for ourselves.

Time for self-care is a luxury not afforded to everyone—this should be noted. One way we can give back to others is by noticing those who can’t take time or space for this sort of practice and offering to help by taking tasks from their to-do list.

Lastly, remember that life is unpredictable. Our days—as we’re learning—will not always go according to plan.

Do you feel the need to be more organized and/or more productive? Do you spend your day in a frenzy of activity and then wonder why you haven’t accomplished much? Then these time management tips are for you — they’ll help you increase your productivity and stay cool and collected.

1. Realize That Time Management Is a Myth

This is the first thing you have to understand about time management, that no matter how organized we are, there are always only 24 hours in a day. Time doesn’t change. All we can actually manage is ourselves and what we do with the time that we have. Appreciate this. Internalize it. And move on as soon as possible to the next tip.

2. Find out Where You’re Wasting Time

Many of us are prey to time-wasters that steal time we could be using much more productively. What are your time bandits? Do you spend too much time Internet surfing, reading email, Facebook posting, texting, or making personal calls?

In a survey by salary.com, 89 percent of respondents admitted to wasting time every day at work:

  • 31 percent waste roughly 30 minutes daily
  • 31 percent waste roughly one hour daily
  • 16 percent waste roughly two hours daily
  • 6 percent waste roughly three hours daily
  • 2 percent waste roughly four hours daily
  • 2 percent waste five or more hours daily

Are you a time-waster? Tracking daily activities helps to form an accurate picture of how much time you spend on various activities, which is the first step to effective time management.

3. Create Time Management Goals

Remember, the focus of time management is actually changing your behaviors, not changing time. A good place to start is by eliminating your personal time-wasters. For one week, for example, set a goal that you’re not going to take personal phone calls or respond to non-work related text messages while you’re working.

4. Implement a Time Management Plan

Think of this as an extension of the third time management tip. The objective is to change your behaviors over time to achieve whatever general goal you’ve set for yourself, such as increasing your productivity or decreasing your stress. So you need to not only set your specific goals but track them over time to see whether or not you’re accomplishing them.

Whether it’s a Day-Timer, a software program, or a phone app, the first step to physically managing your time is to know where it’s going now and planning how you’re going to spend your time in the future. A software program such as Outlook, for instance, lets you schedule events easily and can be set to remind you of events in advance, making your time management easier.

6. Prioritize Ruthlessly

You should start each day with a session prioritizing the tasks for that day and setting your performance benchmark. If you have 20 tasks for a given day, how many of them do you truly need to accomplish?

7. Learn to Delegate And/Or Outsource

Delegation is one of the hardest things to learn how to do for many business owners, but no matter how small your business is, there’s no need for you to be a one-person show — you need to let other people carry some of the load. Delegation shares the tasks you’d be better off leaving to someone else, so you can make the most of the time that you have.

8. Establish Routines and Stick to Them as Much as Possible

While crises will arise, you’ll be much more productive if you can follow routines most of the time. For most people, creating and following a routine lets them get right down to the tasks of the day rather than frittering away time getting started.

9. Get in the Habit of Setting Time Limits for Tasks

For instance, reading and answering email can consume your whole day if you let it. Instead, set a limit of one hour a day for this task and stick to it. (The easiest way to do this is to assign a solid block of time to this task rather than answering email on demand.)

10. Be Sure Your Systems Are Organized

Are you wasting a lot of time looking for files on your computer? Take the time to organize a file management system. Is your filing system slowing you down? Redo it, so it’s organized to the point that you can quickly lay your hands on what you need.

Prioritize tasks based on importance and urgency. For example, look at your daily tasks and determine which are:

  • Important and urgent: Do these tasks right away.
  • Important but not urgent: Decide when to do these tasks.
  • Urgent but not important: Delegate these tasks if possible.
  • Not urgent and not important: Set these aside to do later.

3. Set a time limit to complete a task

Setting time constraints for completing tasks helps you be more focused and efficient. Making the small extra effort to decide on how much time you need to allot for each task can also help you recognize potential problems before they arise. That way you can make plans for dealing with them.

For example, assume you need to write up five reviews in time for a meeting. However, you realize that you’ll only be able to get four of them done in the time remaining before the meeting. If you become aware of this fact well in advance, you may be able to easily delegate writing up one of the reviews to someone else. However, if you hadn’t bothered to do a time check on your tasks beforehand, you might have ended up not realizing your time problem until just an hour before the meeting. At that point, it might be considerably more difficult to find someone to delegate one of the reviews to, and more difficult for them to fit the task into their day, too.

4. Take a break between tasks

When doing a lot of tasks without a break, it is harder to stay focused and motivated. Allow some downtime between tasks to clear your head and refresh yourself. Consider grabbing a brief nap, going for a short walk, or meditating.

5. Organize yourself

Utilize your calendar for more long-term time management. Write down the deadlines for projects, or for tasks that are part of completing the overall project. Think about which days might be best to dedicate to specific tasks. For example, you might need to plan a meeting to discuss cash flow on a day when you know the company CFO is available.

6. Remove non-essential tasks/activities

It is important to remove excess activities or tasks. Determine what is significant and what deserves your time. Removing non-essential tasks/activities frees up more of your time to be spent on genuinely important things.

7. Plan ahead

Make sure you start every day with a clear idea of what you need to do – what needs to get done THAT DAY. Consider making it a habit to, at the end of each workday, go ahead and write out your “to-do” list for the next workday. That way you can hit the ground running the next morning.

Implications of Poor Time Management

Let’s also consider the consequences of poor time management.

1. Poor workflow

The inability to plan ahead and stick to goals means poor efficiency. For example, if there are several important tasks to complete, an effective plan would be to complete related tasks together or sequentially. However, if you don’t plan ahead, you could end up having to jump back and forth, or backtrack, in doing your work. That translates to reduced efficiency and lower productivity.

2. Wasted time

Poor time management results in wasted time. For example, by talking to friends on social media while doing an assignment, you are distracting yourself and wasting time.

3. Loss of control

By not knowing what the next task is, you suffer from loss of control of your life. That can contribute to higher stress levels and anxiety.

4. Poor quality of work

Poor time management typically makes the quality of your work suffer. For example, having to rush to complete tasks at the last minute usually compromises quality.

5. Poor reputation

If clients or your employer cannot rely on you to complete tasks in a timely manner, their expectations and perceptions of you are adversely affected. If a client cannot rely on you to get something done on time, they will likely take their business elsewhere.
